Information you choose to provide
When you submit an enquiry on the public website, your name, work email, company, product or solution interest and project message are sent to our private server in Singapore and saved so our sales and engineering team can respond. Cloudflare Email Service sends a notification containing these details to our team. Delivery failures are retried from a private outbox. We keep a daily changing keyed network hash for abuse prevention, remove it after two days, and do not include enquiry details in optional analytics or application logs. The private preview continues to prepare a draft in your email app. Please avoid including sensitive personal information in a project brief.
Optional website analytics
Only after you accept analytics, we record known page paths, product and category selections, clicks on published content and documents, contact actions, 50% or 90% scroll milestones, and whether a page received 30 seconds of active viewing. Events include a server timestamp, a broad screen-size group (mobile, tablet or desktop), an arrival category (direct, internal or external) and a random tab session identifier.
The identifier groups activity within one tab; it is not your name and does not follow you across sites or browsers. Analytics is therefore pseudonymous, rather than guaranteed anonymous. We do not add names, email addresses, enquiry text, search terms, full referring URLs, URL query strings, IP addresses or browser fingerprints to our analytics dataset. We do not use session replay, keystroke recording or advertising trackers.
Hosting and security information
Cloudflare processes network information such as IP addresses and request details to deliver and protect the website. This infrastructure processing is separate from optional analytics. The private preview also checks its access credentials. Automatic request invocation logging is disabled in our application configuration.
Optional AI assistant
When you choose to send a question to Coolnet Assistant, your question, a limited recent conversation and the current page path are sent through our server in Singapore to OpenAI to generate a reply based on published Coolnet information. Opening the widget alone does not send a chat message to OpenAI. Please avoid entering sensitive personal information, passwords or confidential project documents.
Replies are generated by AI and may be inaccurate. They are not a quotation, engineering approval or confirmation that a message has reached our sales team. Use Contact our team for a human enquiry.
The conversation is kept in this browser tab so you can continue across website pages. Clear chat removes it from this tab; it also expires after 30 minutes without conversation activity or when the tab is closed. Our application does not persist or log chat transcripts on its server or include them in optional website analytics. OpenAI may process and retain submitted information under its applicable API terms and privacy arrangements; clearing the local chat does not erase provider records.
To prevent abuse, our server keeps short-lived counters under a daily changing keyed hash derived from the network address. The raw address is not stored in this application database or sent to OpenAI by our application. Expired client counters are cleared during subsequent service requests. Daily aggregate request and token counts are kept for up to 90 days for operation and cost control. Cloudflare, DigitalOcean and OpenAI also process service information under their own arrangements. Why we use information
- Deliver and secure the website, control private-preview access and remember your privacy preferences.
- Provide the AI assistance you request, prevent abuse and control service usage.
- Respond to enquiries, discuss requested equipment or services, and manage a business relationship.
- With your consent, understand which pages, products and documents are useful and improve the website.
Where applicable, we rely on consent for optional analytics; steps you request before a contract or performance of a contract for business enquiries; and legitimate interests in operating and securing the website, subject to your rights. We may retain information when a legal obligation requires it. We do not sell personal information or use it for cross-context behavioural advertising.
Your analytics choice
Optional analytics is off until you positively accept it. Rejecting analytics does not affect product information, downloads or enquiries. You can accept, reject or change your choice in at any time. We respect Global Privacy Control and Do Not Track signals by keeping optional analytics off.
Withdrawing consent stops new analytics and removes the identifier in this tab. We also request deletion of the events associated with the current tab session; the website reports if that request fails. It does not remove unrelated earlier sessions that we can no longer identify. Withdrawal does not affect processing that was lawful before withdrawal.
How long we keep it
- Privacy preference: 180 days, or until you clear it. A material policy-version change asks for a new choice.
- Analytics session identifier: the current tab, with a new session after 30 minutes of inactivity.
- Analytics events: 90 days, excluded from reports once expired and removed by a daily cleanup.
- Website enquiry copies and email delivery records: up to 90 days on our private server.
- Enquiries received by email: for as long as needed to respond to the request, manage the resulting business relationship and meet applicable contractual, accounting or legal requirements.
Cloudflare recovery backups may retain deleted analytics data for up to a further 30 days. They are not part of routine reporting. Security and service-provider records follow the provider’s applicable retention arrangements.
Your rights and requests
Depending on the law that applies to you, you may request access, correction, erasure, restriction or portability of personal information; object to certain uses; withdraw consent; or complain to your local data protection authority. We will assess and respond within the applicable legal timeframe.
Contact us at sales@coolnetpower.com. Tell us the nature of your request and the approximate dates and pages involved. We may need proportionate information to verify a request. Because our analytics does not store your name or email and uses temporary identifiers, we may be unable to identify an earlier session without its identifier. We do not collect extra identifying information solely to make analytics identifiable. Short-lived random deletion tokens may remain for up to 90 days to prevent delayed events from restoring an erased session.
Other websites and updates
Social links, email applications and other external destinations operate under their own privacy policies. Our website is intended for business users and is not directed to children. We update this policy when our practices change; the date above identifies the current version.
